Privacy Policy

Overview

Pineapple Split is a product of Banana Analytics Inc. ("Banana," "we," "us"), which operates pineapple-split.com and the Pineapple Split commission reconciliation service. This policy describes how we collect, use, and protect your information when you use the service. Because Pineapple Split is operated by Banana Analytics Inc., account and legal correspondence is handled under the Banana Analytics name.

Information we collect

Review requests. When you request a paid review, we store your name, email, agency, carrier, statement format, review interests, and whether you have a commission schedule. We use these details to respond and scope your review, and send an internal notification through Resend. We store a keyed hash of your IP address to limit repeated submissions. Please do not include policyholder data in the request form. You can request deletion using the contact address below.

Account information. When you create an account we collect your name, email address, and authentication credentials, which are managed by our authentication provider, Clerk. If you sign in with Google, we receive your name, email, and profile photo from Google. We do not receive your Google password.

Billing information. If you subscribe to a paid plan, payment processing is handled by Stripe. We do not store your card number. Stripe provides us with your email, subscription status, and billing history.

Commission statements you upload. The core of the service is reconciling the commission statements you upload. These files may contain personal and business information, including insured or member names, policy and member identifiers, plan and product details, agent names and identifiers, and commission amounts. We extract, store, and process this data to reconcile expected against actual commissions, flag discrepancies, and compute downline payouts. We retain the original parsed row for each line so that every figure can be traced to its source for audit. We do not log in to carrier portals and we do not store carrier credentials. You upload files or forward statements to your private email-in address.

Optional email results. If you enable email results, we save your verified account email and send receipts, reconciliation summaries, and requests for missing information through Resend. These emails include agency commission totals and finding counts, but exclude policyholder names, policy identifiers, source filenames, and report attachments. Detailed reports require account sign-in. We retain delivery records to retry failed messages and prevent duplicates. You can turn off email results on the Statements page. Messages already sent remain in your mailbox. Forwarding a statement does not subscribe its sender or other email recipients to your agency results.

Policy books. When you upload or email a policy export, we retain its parsed rows, column mapping, confirmation record, and previous values when a policy is updated. Confirmed policy identifiers, carriers, terms, statuses and first-payment dates are compared with your parsed statements to identify payments worth investigating. Policy export mapping and matching do not send policy-book rows to an AI provider. You can request deletion using the contact address below.

Commission decisions and payout records. Confirmed rate versions, recurring schedules and payout runs retain their inputs and decision history. Payout snapshots include source commission rows and producer splits. Approval and payment records include the signed-in actor, date, note and external payment reference. Recording a payout does not transfer funds. These records remain available when schedules or splits change. Recovery cases also retain the agency's contractual evidence, source snapshots, receipt references, allocation decisions and reversals. Legacy dispute records are archived separately as unverified history. Cases and their evidence survive statement removal or reprocessing; account deletion requests follow the retention process below. Recovery receipts are confirmed by the agency and are not verified against bank accounts by Pineapple Split.

Optional producer payout emails. An account owner or agency administrator can register a producer email address and request confirmation. We retain the address, agency name, consent and change history, delivery attempts and provider references. After the recipient confirms access and the agency reviews the producer-to-address mapping, the agency can explicitly send a producer payout PDF through Resend. These attachments include policy IDs, commission amounts and split details. We retain the frozen PDF and message for delivery retries and audit. Confirming an address does not verify producer identity. Recipients can stop future emails using the code in a payout email; administrators can revoke delivery in the app. Messages already in flight may arrive, and delivered PDFs cannot be recalled. Provider acceptance does not establish inbox delivery.

Contracts and rate schedules. When you upload or email a contract or rate schedule, we store the original file, extracted text, proposed rates, and your confirmation record. We may send the extracted document text to Anthropic to suggest commission rates. Proposals remain inactive until someone in your agency confirms them. Dismissing a document does not delete its source or review history. You can request deletion using the contact address below.

Unknown statement formats. When you upload a statement in a format we have not seen before, we may send the column headers and a small number of sample rows to our AI provider, Anthropic, to suggest how the columns map to our standard fields. This is used only to propose a mapping for your confirmation. If AI-assisted mapping is unavailable, unknown formats route to a manual review queue instead.

Usage data. We collect product analytics (pages visited, features used, actions taken) through PostHog to improve the service, and we use Google advertising and conversion tracking to measure the performance of our ads. We do not sell your data.

Service providers we share data with

We share data with vendors that operate parts of the service on our behalf, under their own security and privacy commitments. These are: Clerk (authentication), Stripe (payments), Resend (review notifications, statement email intake, optional reconciliation summaries, and producer payout emails), Neon (database hosting), Vercel (application hosting), Anthropic (AI column mapping for unknown formats and proposed contract rate extraction), PostHog (product analytics), and Google (advertising and conversion measurement). We do not sell your data or the contents of your statements to anyone.

Your data is yours

Your reconciliations and payouts export to CSV and PDF at any time. You can ask us to delete your account and associated data by emailing the address below; we will remove it except where we are required to retain limited records for legal or accounting reasons.

Security

We do not store passwords; authentication is handled by Clerk. Payment data is handled by Stripe, which is PCI DSS Level 1 certified. Application data is stored in a managed Postgres database. No method of storage or transmission is perfectly secure, but we take reasonable measures to protect your information.

Children's privacy

The service is not directed at children under 13, and we do not knowingly collect personal information from them.

Changes to this policy

We may update this policy from time to time. We will notify registered users of material changes by email. The "last updated" date above reflects the most recent revision.
